Golf course machinery servicing
Three things keep a greenkeeping fleet running: service intervals that reflect real use, fault logs raised the moment something goes wrong, and repair records that stay with the machine. This guide covers how to run all three on a UK course without adding paperwork to the morning.
Setting service intervals
A greens mower cutting six days a week in June and standing still in January cannot be serviced on a fixed date. Set the interval against the thing that actually wears the machine.
- 1Pick the driver for each machine: engine hours for anything with an hour meter, date for everything else, and per use for hired or shared equipment.
- 2Take the manufacturer interval from the operator manual as your starting point, then shorten it for machines that work in sand, dust or long wet grass.
- 3Record the hour reading whenever the machine is checked, so due dates are based on real use rather than an estimate.
- 4Set a due soon warning ahead of the interval, typically 10 percent of the hours or two weeks, so parts can be ordered before the machine is due.
- 5Review intervals at the end of the season: if a machine repeatedly fails between services, shorten the interval rather than blaming the operator.
Typical intervals by machine
A starting point only. The operator manual for your make and model always wins.

Fault logs and tag out
A fault log is only useful if raising one takes less effort than mentioning it in passing. Keep it to a photo and a sentence, and make the safety call explicit.
- Raise the fault at the moment it is noticed, not at the end of the shift, with a photo of what is wrong.
- Say what the machine was doing when the fault appeared: cutting, transporting, starting cold, under load.
- Decide safe or unsafe. If unsafe, tag the machine out so nobody takes it to the course before it is repaired.
- Assign it: workshop fix, external dealer, or monitor. An unassigned fault becomes a forgotten fault.
- Close the fault only when the repair is recorded, so the fault and its fix stay attached to the machine.
Tag out is the part most sheds skip. A machine with a failed brake, a weeping hydraulic hose or a defeated safety switch should be visibly out of service to everyone on the crew, not just to whoever heard about it.
Repair records and cost of ownership
The repair record is what turns a pile of jobs into an argument for replacing a machine. Record these six things every time.
- Date and engine hours at the time of the repair
- What failed, and what actually fixed it, in plain language
- Parts used, with quantity and cost, taken off workshop stock
- Labour: in house hours or the dealer invoice reference
- Downtime: when the machine went out of service and when it returned
- Photos before and after where the failure is not obvious from the text
Add fuel and parts costs to the repair record and each machine carries its own running total. When a fifteen year old fairway mower costs more in a season than a lease payment, the replacement case writes itself for the greens committee.
